The Integration of Sage Intacct, Algodocs, Datablen and Nuvei
Introduction
Davis Rubber Co., a leader in waste tire management, recognized the need to modernize and streamline its invoicing processes. The company faced challenges in managing invoices for waste tire transportation and mileage, which required a significant amount of manual effort. To address these challenges, Davis Rubber Co. partnered with Banks and Associates to develop an automated workflow using Sage Intacct, Algodocs, Datablend, and Nuvei. This case study explores the journey of Davis Rubber Co. and how the integration of these technologies transformed their invoicing process for one of their revenue streams
Background
Davis Rubber Co. has been in the waste tire management business for a century, providing comprehensive recycling and disposal services. The company handles a large volume of waste tires, necessitating efficient invoicing tire dealers for transportation and mileage while accounting for the tires processed using state-mandated waste tire manifests. The existing manual invoicing and payment process was time-consuming, prone to errors, and resulted in delayed payments, impacting the company’s cash flow.
Challenges
Davis Rubber Co. faced several challenges with its manual invoicing process:
- Time-consuming tasks: Manually creating and sending invoices took significant time and effort.
- Error-prone processes: Manual data entry led to frequent errors and discrepancies in invoices.
- Delayed payments: Invoices were often sent late, resulting in delayed payments from customers when personnel wasn’t available to process payments.
- Inefficient tracking: Keeping track of transportation and mileage for each customer was cumbersome.
Solution
To address these challenges, Davis Rubber Co. partnered with Banks and Associates to implement an automated invoicing workflow. The solution involved the integration of four key technologies: Sage Intacct, Algodocs, Datablend, and Nuvei.
Sage Intacct
Sage Intacct, a leading cloud-based financial management software, was chosen for its robust accounting capabilities and seamless integration with other applications. Sage Intacct provided a centralized platform for managing financial records, generating invoices, and tracking payments.
Algodocs
Algodocs, an advanced document automation tool, was integrated to handle the extraction and processing of data from handwritten waste tire manifests. Algodocs allowed Davis Rubber Co. to automate the extraction of transportation and mileage data from the manifests, driver logs, receipts, and other documents, reducing manual data entry and errors. In addition, critical source data was collected from the manifest for Davis’ main revenue stream.
Datablend
Datablend, a powerful data integration platform, facilitated the seamless transfer of data between different systems. By integrating Datablend with Sage Intacct and Algodocs, Davis Rubber Co. ensured that transportation and mileage data were automatically synced and created the invoice in Sage Intacct and updated in real-time, streamlining the invoicing process.
Nuvei
Nuvei, a global payment technology provider, was integrated to manage electronic payments. With Nuvei, Davis Rubber Co. enabled customers to authorize automatic payments or make payments online, ensuring faster and more secure transactions. The integration with Sage Intacct also allowed for automatic reconciliation of payments, further reducing manual effort.
Implementation
The implementation of the automated workflow involved several key steps:
- Requirement analysis: Banks and Associates conducted a thorough analysis of Davis Rubber Co.’s invoicing requirements and existing processes.
- System integration: The team integrated Sage Intacct, Algodocs, Datablend, and Nuvei, ensuring seamless data flow between systems.
- Workflow design: A customized workflow was designed to automate the extraction, processing, and invoicing of transportation and mileage data.
- User training: Comprehensive training sessions were conducted for Davis Rubber Co. employees to ensure they could effectively use the new system.
- Testing and validation: The automated workflow was rigorously tested to identify and resolve any issues before full deployment.
Results
The implementation of the automated workflow yielded significant benefits for Davis Rubber Co.:
- Increased efficiency: The automation of invoicing processes reduced the time and effort required to create and send invoices with limited administrative resources.
- Improved accuracy: Automated data extraction and integration minimized errors and discrepancies in invoices.
- Faster payments: Timely issuance of invoices and online payment options accelerated the payment cycle, improving cash flow.
- Enhanced tracking: Real-time data updates provided better visibility into transportation and mileage, allowing for more accurate invoicing.
- Reduced manual effort: The automated workflow significantly reduced the need for manual data entry and reconciliation.
